WhatsApp Auto-Reply for Business: From Away Messages to AI
The three levels of WhatsApp auto-replies — app automations, rule-based flows and AI chatbots — and how to choose the right one for your volume.

Customers expect a fast answer on WhatsApp — often within minutes. Auto-replies make that possible without someone watching the phone all day. There are three levels, and most businesses grow through them in order.
Level 1: App automations
The free WhatsApp Business app offers greeting messages, away messages and quick replies (saved answers you insert with a shortcut). They're perfect for small teams: easy to set up, but static — every customer gets the same text.
Level 2: Rule-based flows
With the WhatsApp Business API and a platform, you can build flows with buttons and menus: 'Track my order', 'Book an appointment', 'Talk to someone'. Keywords and button taps trigger the right path. They're predictable and ideal for structured tasks.
Level 3: AI chatbots
AI understands free-text questions, detects intent and sentiment, answers from your knowledge base and product data, and speaks the customer's language. Combined with flows for structured tasks and a smooth handoff to your team, it can resolve a large share of routine conversations.
Which level do you need?
- Fewer than ~20 chats a day, one person answering: level 1 is enough.
- Repetitive requests like order status or bookings: add level 2.
- High volume, many different questions, several languages: level 3.
Rules for auto-replies customers like
- Be clear that it's automated — and when a person will reply.
- Always offer a way to reach a human.
- Don't send long menus; three or four options are plenty.
- Personalise where you can: name, order, previous conversation.
- Review conversations weekly and fix what the automation gets wrong.
